How to Document a Sports Card Trade Before Mailing Your Cards

Agree on exact cards, condition, shipping and problem handling before a mail trade, with a fictional two-way exchange worksheet.

The short answer

Before mailing a trade, agree in writing on both card lists, exact versions, known condition, mailing dates and delivery methods. Keep the agreement with front-and-back images and tracking records. A trade history or payment app does not automatically protect a barter; do not send cards until the exchange is clear.
  • Identify the exact copy, including serial number or certification number when present.
  • Agree on shipping and what happens if one parcel is delayed before either person mails.
  • Tracking documents movement; it does not establish the contents or authenticity of a parcel.

Write both sides of the exchange as an item list

A message saying rookie for rookie leaves too much open. For each card, list the year, product, card number, parallel, serial numbering and whether it is raw or graded. For an encapsulated card, include the grading company, grade and certification number. Distinguish the number printed on the checklist from the number stamped on a limited card.

Save images of the exact copies, including their backs and disclosed damage. Stock images cannot show which copy is changing hands. Ask the other collector to confirm the final list after revisions; earlier messages can otherwise leave an extra card apparently included. If cash is part of the exchange, record it separately rather than hiding it inside a claimed trade value. Do not send passwords, identity documents or account access as proof of ownership.

Make condition disagreements smaller before shipping

Describe observations in ordinary language: a white spot on the lower back edge, a visible surface line or a cracked holder corner. Avoid promises about a future grading result. If a mark could be on the sleeve, obtain a clearer view without demanding risky handling. Keep slabbed cards sealed; opening a holder creates a different item from the one originally proposed.

Use the fictional record below as a model for specificity, not a price guide. The two collectors might value their cards differently and still agree to an exchange. What matters for fulfillment is whether each person receives the identified item in the disclosed condition.

Agree on two shipping plans, not one vague promise

Write down the destination privately, planned mailing date and service for each direction. A decision to send first changes who is exposed to an unfinished exchange; it is not proof the other person is trustworthy. If the trade matters enough that one lost parcel would be unacceptable, reconsider whether a mail barter is the right arrangement.

Decide who contacts the carrier and how you will respond if one shipment stalls. Keep the acceptance receipt and tracking record, then send the tracking number through the same conversation used for the agreement. Label the records A-to-B and B-to-A so the two journeys cannot be confused. Our suggested record has four stages: agreed, handed to carrier, delivered and contents checked. A delivery scan should not silently skip the final inspection.

Understand what a payment service actually covers

Do not assume that exchanging small payments through a payment app insures the full trade value. PayPal's US Purchase Protection terms concern eligible purchases and contain exclusions, including Friends and Family payments and items intended for resale. The terms do not establish automatic protection for a card-for-card barter. Reciprocal invoices are not a substitute for understanding eligibility.

Likewise, positive feedback and an active profile are useful context, not a guarantee. Review whether previous transactions resemble this proposed exchange and whether the person communicates consistently. If account identity, ownership or the card list remains uncertain, pause before mailing. This guide provides a documentation method; it does not recommend manufacturing a purchase record or selecting an inaccurate payment category to obtain coverage.

Inspect promptly and keep a factual problem record

Check the package and contents when they arrive. Compare card numbers, serial stamps, holders and disclosed defects against the saved record. If something is wrong, photograph the packaging and the whole card before taking close-ups. Describe the discrepancy precisely and ask the trading partner for a specific resolution without making a public accusation from incomplete evidence.

On a platform such as TCDB, keep the transaction discussion and status current. If actual online fraud is suspected, retain the conversation, account details, tracking and any payment record for the platform and appropriate reporting channel. The FBI identifies IC3 as a reporting route for internet scams. A report does not guarantee recovery. If both packages arrive correctly, update your inventory and close out the exchange with factual feedback.

Frequently asked questions

Does tracking prove which card was inside?

No. It records carrier events. Keep an item list and photographs alongside the tracking history; neither independently proves every aspect of fulfillment.

Should the person with less feedback always ship first?

That is a proposed trade term, not an assurance. Decide whether the remaining risk is acceptable and obtain agreement before either parcel is mailed.

Can I use Friends and Family to protect a trade?

PayPal lists personal payments as ineligible for its US Purchase Protection program. Do not describe that payment method as protection for a card exchange.

What if the received card has undisclosed damage?

Save the packaging and photograph the discrepancy. Contact the partner through the original transaction thread, identify the agreed description and seek a documented resolution before altering or returning anything.
